Registrant Information Data Entry
Registrant Data is the first of four main data entry screens used to collect registration
information. The Registrant Data screen collects the primary contact information for a specific registrant and
also displays the administrative information for that registrant such as
Onsite/Pre-Reg, Batch Tag, User Tag, etc. Note: By setting the show parameter “Data Entry Form” (see Show Parameters Setup), Reg-Net allows you to use a one panel, two panel, or four panel data entry
screen. All formats collect the same information, but each has been designed
for a certain screen resolution: 1-panel 1024x768, 2-panel 800x600, and 4-panel
640x480.

Functionality:
Using The Menubar – (see MenuBar Functions.)
Search/Select – allows the user to search for an individual registrant or a group of
registrants for review or modification (see Search Registrant Data or Select Registrant Data.)
Badge1 – Sends a registrant’s primary badge (typically a paper badge) either directly to the printer or to
the badge queue indicated (see Badge Output Setup.)
Badge2 – Sends a registrant’s secondary badge, if any, directly to the printer indicated (see Badge Output Setup.) Note: Secondary badge types are typically used for exhibitor lead collection,
e.g., magstripe card or embossed plastic card.
Print Letter – Prints a confirmation letter for the current registrant if confirmation
letters have been created (see Confirmation Letters Setup.)
Force Q – Force queued badges directly to the printer without waiting for the queue to
fill up and trigger the print.
InfoDisk – Creates a floppy disk containing an attendee’s name, address, and complete contact information for use with Reg-Nets
LeadLink lead collection software (See Exhibitor Lead Collection).
Delete – If you are using Reg-Net Admin access, or the show parameter giving Reg-Net
Data Entry access the same ability has been checked (see Show Parameters Setup), the Delete button will be enabled and individual records can be deleted.
Field Definitions – Besides the obvious data input fields, there are the following:
- Badge Name – A registrant’s nickname. If entered, it will appear on the badge only.
- Market Tracking – Can be used to record the marketing source of a registrant’s registration form.
- Misc 1 and 2 – User defined fields that can contain up to 50 characters of extra data. There
are two “Miscellaneous Data Input” reports that group and count this extra information if you require it.
Captions for these two data entry fields can be changed to more meaningful text (see Show Parameters Setup).
Recall – In a new blank registrant record, the Recall button will copy a subset of the previously entered record to the new blank
record. The recall function expedites data entry when several registrants are
from the same company or organization and are registering as a group one after
the other.
Override Checks – If checked, the fields prefixed with a red “X” do not have to be entered in order to create a registrant record. Note: You can also override field checks for a specific class of registrant
(see Data Entry Control Setup and Class Codes Setup.)
Batch Control – Displays the important administrative information that follows:
- Onsite/Pre-Reg – Indicates whether the registrant was pre-show or onsite.
- Entered – The date and time the registrant record was initially entered.
- Modified – The date and time the registrant record was last modified.
- Batch – The batch tag attached to the registrant record.
- User – The user tag attached to the registrant record.
- Pickup – The date and time a pre-reg attendee arrived onsite (see Log PreReg Pickups.)
- Mark For Batch Processing – If checked, the registrant record becomes part of set of records that can be
processed as a whole on either the Select Registrant Data screen, the Badges,Tickets and Reports screen, or the Batch Delete Registrants Utility screen.
Tickets – The Tickets button displays all tickets currently issued to a registrant and provides a
gateway to the event reservation system where tickets are actually requested and
reserved (see Registrant Tickets Data Entry and Event Reservations Data Entry.)
Find Prospect – The Find Prospect button will display a list of prospects or former attendees that are stored in
a particular prospect database so that data entry can be expedited (see Load Prospect Data). To display a prospect selection list, simply enter all or part of the Last Name or Company Name and press the <F3> key or click the button. When the list is presented (see screenshot below),
just place your cursor in the Badge ID field of the prospect selection list and
press the <Enter> key; the contact data from the prospect database will be copied to the
registrant data entry form that you are working on.
